The Annual General Meeting of the Mathematical and Theoretical Physics group of the Institute of Physics will be held on Friday 8 July 2005 at about 12.15pm at Durham University, in conjunction with the Theory and Experiment in Quantum Gravity meeting co-organised by the group; see the announcement below. The exact time and location of the AGM will be announced on the group's website and included in the announcement of the AGM on Friday, 17 June.
One of the main items of the AGM is the election of new committee members and officers. Nominations are invited for the position of Honorary Treasurer and for two ordinary committee members. Nominations should be proposed by at least two members of the group and be accompanied by the consent of the nominee, and should be sent to reach me (at the address given below) not later than Monday, 13 June. Nominations and consent may be sent to me by email (provided written confirmation is given later).
The official agenda for the meeting, together with the names of nominees for the election of committee members, will be circulated by email and will be available on the group web-site from Friday 17 June.

Members are invited to notify me by Friday 1 July of any other business of a character suitable for consideration at the meeting which they wish to bring forward at the AGM.
In the event that the attendance at the AGM is less than 12 members (the quorum required by our constitution), then the meeting will automatically be adjourned and reconvene not less than one week later, at a time and location to be announced on the group's website. In accordance with the Institute's bylaws, the number of corporate members at this reconvened meeting shall be a quorum.
It is apparent that the contact details held by the Institute are not entirely accurate. This newsletter is being sent out by both post and email — if you only receive one of these then please could you contact the membership department at the Institute — the simplest way is to use the members' area on the website and edit your details there. The Institute is also keen for its members to use the free @physics.org email address that it provides, which you can use as an alternative to your current email, and which can be set up to forward emails sent to that address to your favourite other e-mailing address.
Theory and Experiment in Quantum Gravity, Durham University, 7-8 July 2005
This is an informal meeting organised by the Mathematical and Theoretical Physics and Gravitational Physics Groups of the Institute of Physics.
There will be a two-day programme of pedagogical talks, covering theoretical and experimental progress in quantum gravity research. These lectures will begin after lunch on the 7th and end during the afternoon of the 8th. The meeting is aimed at both theorists and experimentalists interested in quantum gravity, and the talks will be accessible to non-experts, particularly graduate students.

The group recently supported the 9th UK meeting on Integrable Models, Conformal Field Theory and Related Topics, 22-23 April 2005, City University London
This was the ninth in a series of annual one-day meetings on this topic. The main aims of the meeting are the dissemination, explanation and discussion of recent exciting results in this field; to promote communication and collaboration within the UK Integrable Models and Conformal Field Theory community, and to bring mathematicians and physicists working in this area together; and to act as a forum for young researchers to present their work and to become known and integrated into the community.
The Mathematical and Theoretical Physics group supports scientific meetings and occasionally other activities of interest to its members. People interested in organising a meeting are invited to contact the Honorary Secretary (Dr Uwe Grimm, u.grimm@physics.org) who will be happy to provide details of the sorts of support provided. You do not have to be a member of the IoP to ask for funding. The group supports around 6 meetings a year on average.
The Mathematical and Theoretical Physics group also supports travel for young members under the age of 30 to attend overseas meetings. It does not itself consider applications, but instead supports members who are successful in obtaining funds from the C R Barber Trust and will match the funding offered by that trust.

It was noted that the address lists held by IoP are still incomplete, and that several members of the Committee (and probably other members of the group as well) had not received the invitation to the AGM, or the email asking for nominations for the Committee, which the IoP refused to send out by mail.
Consequently an interested members had not been nominated in time. The details of the nomination procedure with the various deadlines were discussed.
The committee thanked the previous Chair for extensive service.
The report was discussed. Finances are healthy, five meetings were sponsored, which meant that about the yearly income had been spent. It was felt that it may be time to use some of the remaining funds to organise a group meeting. Several ideas were discussed, including inviting prominent speakers, or combining it with a meeting of editors of Journal of Physics A. It was also discussed how a meeting could cater for the needs of ordinary members of the group, giving them an opportunity to meet and discuss. This will be further discussed in a meeting of the Committee in early 2005.
Election of Committee:
A Beige was elected (unopposed) to the committee to serve until the AGM in 2008
Election of officers:
G Watts was elected Chair (unopposed) and U Grimm was elected Secretary (unopposed), both to serve until the AGM in 2007
It was noted that the call for nominations had only been distributed by email, and given the incomplete email lists it was felt that this should be done by mail, preferable in connection with a Newsletter to members.
